The VEOS-group asked whether the paper trail could be reduced by replacing as many documents as possible that are hand-written by the drivers when collecting raw materials for the food industry with digital forms. The master data is imported from Microsoft Dynamics AX.

After the driver has added data (temperature, results of sample analysis, etc.) based on the master data (selection of moving units and supplier), this data is sent back to Microsoft Dynamics AX to perform the necessary actions such as invoicing and, if necessary, based on the added data, troubleshooting at the suppliers. Delivery notes are being delivered electronically in PDF-format.

If there are expiry dates of vehicle inspections from the fleet or drivers licenses and other personal documents of the drivers, the system will send a reminder from one month prior to the expiry date. This is done by email as well as SMS.

The necessary error checks are also carried out so that the raw materials are loaded in the correct type of trailer and the driver is alerted if something is not right or further processing is even blocked if the combination between raw material and trailer is not permitted.

Master data is pushed to Microsoft Dynamics AX and it also comes back to retrieve it.

Depending on where the driver is in the input process, the required documents are generated in PDF format and sent directly to suppliers, drivers and stakeholders, making the paper version redundant.

After an extensive test period, the project has now been delivered for the branch in Belgium and work is underway on a further rollout to France, Spain and Brazil!
